Community Center Services

In line with our mission, the John Thomas Gay & Lesbian Community Center (Center) provides various services to non profit community organizations. The Center offers meeting space, voice mail, mail service and copier service. These procedures and policies have been established to better serve, foster and support community organizations.

Although there are fees associated with services, newly formed organizations may apply for temporary fee exemptions. For profit groups may utilize Center services. However, fees for for-profit groups are determined between the organization and Center management, and some services are not available.

Groups and organizations interested in using Center services must complete a Community Group information form. Only persons listed as group representatives are allowed to make reservations or amendments to services.

Meeting Space

Hours: Rooms may be reserved during the Center’s regular hours of operation. Established groups wishing to use facilities after regular business hours may do so with a Center staff or board member present or with a security deposit. Such groups must have their representative meet with Center staff for instructions regarding the facilities and security. Security deposits will be forfeited should the group violate Center policies.

Reservations: A total of twelve (12) reservations may be made at one time. For groups with ongoing reservations, the group’s representative is responsible for making the continuing reservations, and can only be made once 70% of the original reservations have been utilized. Reservations are for a four (4) hour maximum. Additional hours/time may be reserved with approval from Center management for an additional fee and on a limited basis.Rooms:

Groups may utilize only the room(s) they have reserved. This does not apply to public areas (i.e., coffee room, restrooms). The Center asks that all groups be respectful of others that use these areas as well. All users should leave rooms clean and organized. (see Room Configuration)

Payment: Payments are accepted in cash or check (payable to : Resource Center Dallas). All fees must be paid by the end of meeting time at the Center, unless prior arrangements have been made. Failure to make payment on time may result in forfeiture of later bookings or additional fees.

Cancellations: Cancellations must be made at least 24 hours in advance to avoid room fees. Groups may make cancellations via e-mail or phone, including voice mail. Excessive cancellations will be considered unacceptable. In the event of inclement weather, the Center may cancel meetings if the Center closes. In this event, a group representative will be notified.

Clean up: Groups are responsible for cleaning the space after a meeting. All trash should be placed in the trash receptacles. Additional trash bags are available if needed. In addition, groups are responsible for returning the room(s) to the original setup. Failure to do so may result in additional charges.

Parking: Parking is available in the main lot in front of the Center, in the secure/monitored lot behind the main building and along Reagan and Brown streets.

Smoking: The Center is a smoke free facility. Smoking is permitted outside of Center buildings in designated areas.

Intercoms/Phones: The phones located in meeting rooms are for intercom use, conference calls and incoming calls. If your group is expecting an incoming call, please advise the front desk personnel. You may lower the volume of the intercom as long as the volume is returned to its original setting after your meeting.

Security: Security is available for an additional fee and requires a two week advance notification. A three hour minimum is required for this service.

Publicity: Groups who advertise their meetings held at the Center are asked to use the correct name of the Center – Resource Center Dallas, 2701 Reagan Street, Dallas, Texas, 75219.

Meeting Room Details: The Center offers three room sizes for meetings. Please refer to the current room rental rate sheet here.

The Center may be reserved for banquets and conferences. However, payments for banquets and conferences must be paid in advance with NO exception. In the event a banquet or conference needs to be cancelled, Center staff must be notified at least one (1) calendar week prior to the date of the event. This will ensure that you will receive a full refund and avoid incurring any additional charges.

** In order to request and use the kitchen, a group representative must meet with Kitchen staff prior to the date of the event for an orientation. Kitchen staff must approve use of the kitchen.

Room Configuration: Under most circumstances, Center staff can set up your room prior to your meeting. There are a few standard configurations from which to choose: board meeting, lecture or group. Each may be altered, and different configurations can be created.

Should a group choose to set their own room configuration, the room must be returned to its standard configuration at the end of the meeting.

Equipment: Groups renting space at the Center may request to use available equipment at no charge. Available equipment includes: overhead projector, easel, dry erase board and/or TV-VCR. These requests should be made at the time of reservation booking.Supplies:

Groups are encouraged to bring their own supplies.

Voice Mail

The Center offers phone and voice mail services to non-profit community organizations. Groups may choose between a single voice mailbox and a multi-option voice mailbox center. The multi-option includes a main greeting, two information options and one voice mailbox.

Groups may purchase a designated phone number that links directly to the Center’s voice mail system. Here, groups may also choose between a single voice mailbox and a multi-option voice mailbox center.

Mail Service & Copier Service

Nonprofit community organizations may utilize the Center’s mail system to send and receive mail and to make copies. Groups may purchase a mail file to receive all incoming mail. In addition, groups may purchase a postage code and / or a copier code. In these instances, groups will receive annual bills for their use.

E-Mail Service 

Community-based, non profit organizations may purchase an e-mail address through the Center. The Center will create the address and act as the administrator of the account. Groups can access e-mail from any computer equipped with internet access. The fee for this service is $20.00 per year.

Example: “groupname”@rcdallas.org (email is accessible through web mail).

 

New Forming Groups

A newly-formed group wishing to use the services of the Resource Center Dallas may apply for a temporary fee exemption. The Center may consider sponsoring the group by donating meeting space or other services for a limited time. The organization will need to submit, in writing, an outline of its purpose, function, target membership, and estimated meeting dates and times.

Community Center management will review the request. If the request is accepted, a meeting will be set for Center staff and the representative(s) of the group to discuss the details. Groups will be encouraged, during this building period, to “pass the envelope” at their meeting and collect $2.00 per person to help defray Community Center costs. At the end of this trial period, the newly established group will assume regular service rates.
